Procurement of documents in Slovenia

Validity of civil status documents in Slovenia

Civil status documents issued in Slovenia are usually valid indefinitely. However, the receiving party may impose time requirements.

When to obtain duplicate documents in Slovenia

A duplicate birth certificate, marriage certificate, name change certificate, divorce certificate, criminal record certificate or death certificate may be required to register a marriage abroad, a newborn child, citizenship, inheritance, data verification for pension applications, opening bank accounts, employment and other bureaucratic issues.

Birth certificate (Rojstni list)

A birth certificate is an official document provided by the Registrar or acting Registrar of the relevant Civil or Consular Register. It verifies details of an individual's birth, including the date, sex, and, if applicable, the time of birth and family relationships.

The register documents all births of Slovenian citizens, whether they occur within the Republic of Slovenia or abroad, as well as all births of foreign citizens that occur within Slovenian territory.

Types of birth certificates

  • International birth certificate

Requests must be submitted to the Civil Registry Office (Upravna enota) in the location where the birth was registered.

Marriage certificate (Poročni list)

A marriage certificate is an official document that verifies the occurrence of a marriage. It records details such as the names of the spouses, the date, and the location of the marriage.

A marriage certificate can be requested by either spouse involved in the marriage or their authorized representatives. In certain situations, individuals with a legitimate interest, such as for legal proceedings, can also request this document​.

  • Information about the marriage (names of spouses, date, and place of marriage)
  • Free to Marry Certificate (No Legal Impediments Certificate)
  • Divorce documents (if applicable)

Divorce certificate

A divorce certificate serves the purpose to verify the legal dissolution of a marriage. It is required for procedures such as remarrying, updating marital status on legal records, immigration applications, and legal matters involving custody, support, or property division.

The marriage will be dissolved by a court decree, allowing both spouses to remarry. Death Certificate (Mrliški list)

A death certificate serves the purpose to provide official confirmation of a person’s death. It is often needed for legal and financial matters such as settling estates, claiming life insurance, finalizing wills, notifying government agencies and closing bank accounts.

The death of a person who died in the territory of the Republic of Slovenia must be reported within two days from the date of death. Only family members can get copies of the death certificate.

It is issued by the Administrative Unit (AU), the department of internal affairs, or the relevant local authority in the area where the deceased had their last permanent residence. According to the Inheritance Act, the civil registrar responsible for registering the death must send the death certificate to the competent probate court within 30 days of the registration.

Police clearance certificate (Potrdilo iz kazenske evidence)

A criminal record certificate, also known as a police certificate, is a document used to verify an individual's criminal record or confirm the absence of one. It is required for employment in sensitive fields, visa or immigration applications, volunteering, firearm permits and adoption proceedings.

Individuals residing in Slovenia can apply for a Police Certificate/Certificate of the Penal Register (Potrdilo iz kazenske evidence) either in person or by mail at the Ministry of Justice of the Republic of Slovenia.

To obtain a Police Clearance Certificate (PCC) in Slovenia, start by visiting the nearest police station where you are registered or have lived. Be sure to bring your identification documents, such as your passport, ID card, and residence permit, along with any required application forms. Once at the station, you'll need to fill out the specific application form for the PCC, providing accurate personal details and stating the purpose for which you need the certificate.

Along with the completed application, you will need to submit your identification documents and any additional paperwork requested by the police. There may also be a processing fee, so be prepared to pay the required amount, as fees can vary. The processing time for a PCC can differ depending on various factors, so it's advisable to ask the police about the expected timeline for receiving your certificate.

Educational documents

Foreign educational documents only carry the same legal value as Slovenian documents if they are exempt from legalization or have undergone the necessary legalization process. Documents from countries with bilateral agreements with Slovenia are fully exempt from legalization. Documents from countries that are part of the Hague Convention of 1961 undergo a simplified procedure called apostille. If neither countries are part of the convention or have bilateral agreements they undergo consular legalization

I really wanted to take the time to express my appreciation to Ms. Nicoleta from Schmidt & Schmidt who took care of my procurement of documents from beginning to end and really went above and beyond to assist me and even expedite the whole process. I was trying to procure my birth certificate from Germany and the registry informed her that the wait might exceed the 8 weeks due to the high volume of requests. I had 3 weeks waiting and I was very worried because I knew I had little time to present my documents and the moment she understood the urgency of my request she promptly took ownership of the situation. After 3 working days she reached out to inform me that the documents made it to their office in Passau and that same day I received my tracking number for the shipping. I also inquired if that specific registry could generate the same document electronically like they do in some other countries and although I could not get it but physically because in Germany it's not a practice, she took the initiative to personally call the registry to find out the correct information and confirmed it to me. Most importantly after only 4 weeks my documents are on the way to my country. I felt accompanied during the process and I am worry free now. Great service from Nicoleta who followed up since the beginning and made the extra mile for her customer.
